A very lightweight way to coordinate scarce resources is to use your workspace as a virtual signup sheet. Don't forget to remind folks to delete their requests once the meeting or event is done. Fining folks $1 for every leftover entry generally does the trick!
Remember, you can create your own customized version of any PBworks template simply by tagging that page with the keyword "template". From then on, any user of your workspace will be able to use your page template.
